When your Shopify store outgrows what you can do alone, you have three common choices: a virtual assistant (VA), a freelancer or an agency. They overlap, and the names get used loosely, so owners often pick based on price alone and regret it.
I'm a Shopify VA, so I'm biased. I'll try to be fair about when each option is the better pick, including when it isn't a VA.
The Short Version
- Shopify VA: best for ongoing, varied work: products, orders, support, app and theme upkeep.
- Freelancer: best for a defined project with a clear end, like a custom feature or a redesign.
- Agency: best for large or complex builds that need a team: design, development, strategy and project management together.
Shopify Virtual Assistant
A VA works with you regularly, often as an extension of your team. You give tasks, they get done, and over time the VA learns your store, your brand standards and how you like things done.
Good fit when
- You have a steady flow of small and medium tasks: uploading products, updating pages, processing orders, answering customers.
- You want one person who knows your store day to day.
- You want predictable monthly cost instead of a quote for every request.
Watch out for
- Large custom builds can be beyond one person's scope. Ask what they have done before.
- You'll need to give clear direction, at least at the start.
Freelancer
A freelancer is hired for a specific job. That might be a developer building a custom feature, a designer redoing your homepage or a specialist setting up your ads.
Good fit when
- The work has a clear start and finish.
- You need a specialist skill you won't need every week.
Watch out for
- Availability. Freelancers move on to other clients, so a fix six months later may mean finding someone new.
- Handover. If nobody documents what was built, the next person starts from scratch.
Agency
An agency brings a team: strategist, designer, developer and project manager. You pay for that coverage and the process around it.
Good fit when
- You're launching or rebuilding a large store and need several skills at once.
- You want one company accountable for the whole result.
Watch out for
- Cost and minimums. Small tasks are often not worth an agency's time or yours.
- Who actually does the work. Ask who will be working on your store day to day.
Questions to Ask Before You Hire Anyone
- Can you show me similar Shopify work? Look for real stores, not just screenshots.
- How will you work on my theme? Changes should be tested on a copy before they touch your live store.
- What access do you need? Staff access with limited permissions is safer than sharing your owner login.
- How do we communicate and report? Agree on a channel, response expectations and how progress is shown.
- What happens if it doesn't work out? You should be able to stop without losing access to your own store or files.
Which One Should You Choose?
Start with the work, not the label. List what you need done over the next three months. If it's mostly recurring tasks, a VA fits. If it's one defined project, a freelancer fits. If it needs a team and a process, look at an agency.
If you're unsure, a short call is the cheapest way to find out. I'm happy to look at your list and tell you which type of help fits, even when the answer isn't a VA.
